    01

    Introduction

AvionexAI is a brand founded by Samarth Rawtole, who operates this website and determines how website enquiries are used. This policy explains how information is collected and used when you visit our website or contact us about our services.

There is no public signup or login. Browsing does not require an account, but the enquiry form does collect personal information when you choose to contact us. The absence of accounts does not remove privacy obligations.

    02

    Information we collect

When you submit an enquiry, we receive your name, email address, message and selected contact type (Individual or Business). Business enquiries also include your business name and industry: Real Estate, Hospital or Clinic.

The form also sends a hidden spam-check field and the time taken to complete it. These help screen automated submissions. Please do not include patient records, medical details, payment-card information or other sensitive personal information in your message.

The ROI Calculator calculates estimates in your browser. Its business inputs are not submitted to our contact-processing service.

    03

    How information is used

We use your information to respond to inquiries, discuss your business requirements, and coordinate requested services or appointments. The enquiry form includes an explicit consent checkbox that you must tick yourself before submitting; the form cannot be sent without it. Ticking it and sending the form is a request to process those details for your enquiry; it does not subscribe you to marketing. Optional analytics consent is separate.

We may follow up about services you have expressed interest in. You can withdraw your enquiry request or ask us to stop further follow-up by emailing workbysamarth1301@gmail.com. Withdrawal does not undo processing already carried out or any retention required by applicable law; it may mean we cannot continue handling your enquiry.

    04

    Contact processing & service providers

Our website uses Lovable Cloud to process enquiries. The service validates submitted fields and checks whether the email domain can receive mail; the submitted email address is also checked with MyEmailVerifier, an email-verification service, to filter out undeliverable or disposable addresses. These checks do not verify ownership of an individual email address.

Enquiries are sent to HubSpot CRM. We look for an existing contact by email to update it where possible, or create a new contact. Your message, contact type and business details are saved as an associated enquiry note.

Our submission service forwards enquiry details to the owner's Google Apps Script, which sends the visitor acknowledgement email and records the enquiry in a connected Google Sheet; the sheet entry is added only when the acknowledgement email was sent. Resend is used to attempt an owner notification email. Enquiry acceptance means the CRM save succeeded, not that either email was delivered.

These providers may process data on infrastructure outside your country under their own terms and privacy policies. We do not sell personal information. We may share information where necessary to operate these services, respond to your request, or meet applicable legal requirements.

    05

    Retention & security

Enquiry records in HubSpot, the connected Google Sheet and email inboxes are kept for up to 12 months after our last interaction with you, unless you ask for deletion earlier or a longer period is required by applicable law. We review and remove enquiry data that is no longer needed for the purposes described in this policy.

We use server-side validation, escaped message content, spam checks, request limits and protected service credentials. These measures reduce risk but cannot guarantee security. Operational service logs may contain request outcomes and CRM record identifiers.

    06

    Cookies, analytics & external services

Google Analytics stays off until you choose “Accept analytics”. If you accept, Google may process page visits, button and demo interactions, calculator interactions, successful enquiry events, device and browser information, identifiers and cookies. We do not send enquiry names, email addresses, messages or calculator input values as analytics event fields. Advertising personalisation and Google signals are disabled.

You can decline without losing website access or the ability to send an enquiry. Your analytics choice is saved in this browser’s local storage, not an account. Clearing browser storage or using a different browser may prompt you again. You can reopen Cookie preferences in the footer at any time. Declining after acceptance disables further analytics, clears accessible first-party Google Analytics cookies and reloads the page; it does not erase data Google already received.

Website delivery and security still involve necessary network processing even when analytics is declined. Fonts or demo media may be served by external hosting services. Calendly widget resources may load to support booking; booking opens Calendly, and WhatsApp links open WhatsApp. Those services may receive network information and details you choose to provide under their own policies. Our analytics choice does not control their independent processing.

    Your choices & contact

For questions, privacy grievances, information about an enquiry, correction or deletion of submitted information, withdrawal of your enquiry request, or to stop further follow-up, contact Samarth Rawtole at AvionexAI on workbysamarth1301@gmail.com. Please identify your enquiry without sending unnecessary sensitive documents. We may need to verify your identity before acting and will review requests subject to applicable legal requirements. We aim to acknowledge privacy grievances within 72 hours and to resolve them as quickly as practicable.

India’s Digital Personal Data Protection Act, 2023 and related rules have phased commencement. Rights and obligations depend on the provisions in force and the circumstances of processing. Where applicable, these include rights concerning information about processing, correction and erasure, grievance redressal and nomination. This policy does not waive statutory rights or replace available legal remedies.

A privacy notice, cookie choice or absence of signup does not by itself establish compliance. This policy is not a DPDP compliance certification or a guarantee against violations; actual data handling, security, retention, provider arrangements and responses to requests must also meet applicable law.
